DeepChatBI Refund & Cancellation Policy

Scope of Application
This Refund & Cancellation Policy applies to all paid products and subscription services purchased through the official DeepChatBI website or authorized channels, including but not limited to:
AI-powered data analysis and conversational services
Data connectors and automated analytics features
Professional / Enterprise subscription plans
Paid services activated after the end of a free trial (if applicable)
This policy forms an integral part of the DeepChatBI Terms of Service.
Nature of Digital Services
DeepChatBI provides instantly accessible digital software services (Software as a Service, or SaaS).
Once a user account is activated and granted access to core functionalities, the service is considered delivered. Accordingly, DeepChatBI does not offer “no-questions-asked” refunds, unless explicitly stated in this policy.
Refundable Scenarios (Limited)
Users may request a refund under the following circumstances. Each request will be reviewed on a case-by-case basis:
3.1 Service Unavailability Due to Technical Issues
The service remains unavailable for a prolonged and unreasonable period
Core features cannot be accessed, and DeepChatBI fails to resolve the issue within a reasonable timeframe
3.2 Duplicate or Incorrect Charges
Duplicate payments caused by system errors
Clear billing anomalies not resulting from user actions
3.3 Cancellation During Free Trial
If a free trial is offered
The user cancels the subscription before the trial period ends
Charges incurred after the trial ends are non-refundable
Non-Refundable Scenarios
Refunds are generally not granted in the following situations:
The service has been used normally, but is no longer needed for personal reasons
The service was unused or infrequently used
Dissatisfaction with features, UI, or product design preferences
Failure to cancel before an automatic renewal
Usage issues caused by the user’s environment or third-party platforms (e.g., Shopify, Google, AWS)
Core services have already been delivered, including data synchronization, analysis, or report generation
Subscriptions & Renewals
All paid subscriptions renew automatically by default
To avoid charges for the next billing cycle, users must cancel before the current cycle ends
After cancellation:
Access remains available until the end of the paid period
Fees for unused time are not prorated or refunded
Refund Request Process
To request a refund, users must contact the DeepChatBI support team within 14 days of payment and provide:
Registered email address
Order ID or payment confirmation
A brief explanation of the refund request

Refund Processing
Approved refunds will be issued via the original payment method
Processing times depend on the payment provider and banking systems
DeepChatBI is not responsible for delays caused by third-party payment processors or banks
Abuse Prevention & Risk Control
DeepChatBI reserves the right to deny refund requests, including but not limited to cases involving:
Repeated refund requests or apparent refund abuse
Attempts to exploit refunds for testing, scraping, or service misuse
Suspected fraud, false information, or abnormal account activity
Legal & Mandatory Consumer Rights
This policy does not limit or exclude any non-waivable consumer rights granted under applicable laws in the user’s jurisdiction.
Where this policy conflicts with mandatory local laws, such laws shall prevail.
Policy Updates
DeepChatBI may update this policy from time to time due to product changes, legal requirements, or business developments.
The updated version will be published on the official website and will apply to orders placed after the effective date.
